ANNUAL MEETING FAQs

Advance registration is required. To register, click here. Ticket sales end Tuesday, October 17.

Same-day registration is strongly discouraged, and we cannot guarantee lodging, food, or giveaways will be available.   

You will receive a registration confirmation email. There are no print-out tickets, but everyone will receive a badge at check-in with a unique QR code.

There will be a registration table in the Akimel Foyer by the Akimel Ballroom.

Cancellation and refund requests can be discussed on a case-by-case basis with Kristin Strazdins (kristin@hsglimited.org).

A block of rooms is reserved at the event venue, the Sheraton Grand at Wild Horse Pass in Phoenix, AZ. All reservations must be made by Tuesday, October 10 in order to receive the room block rate. Meeting attendees are welcome to stay here but it is not required.

HSG has acquired an additional room block at the hotel closest to the venue, Gila Resorts Hotel & Casino. A shuttle is available to and from the venue and casino every 15 minutes from 7am-11pm daily. All reservations must be made by Tuesday, October 10 in order to receive the room block rate. Meeting attendees are welcome to stay here but it is not required.

No. To get from the airport, there are taxis and ride-share services such as Uber and Lyft. Depending on traffic, expect the ride to take 20-30 minutes. You may coordinate to share a ride with other HSG 2023 attendees through the Whova app.

No pre-registration or signup for parallel sessions is required.

The Whova conference app helps us to deliver a better event experience and reduce wasteful printing. The free app will be accessible for iPhone and or Android, or by using any web browser. It will supercharge your HSG meeting experience by providing agendas and personalized schedules, speaker bios, business card scanning, real-time updates, and much more! There is no formal dress code, but most meeting attendees are “business casual.”
Our Family Day event on Saturday is casual.

Some meals are provided.
            Thursday, November 2: Buffet Breakfast, Buffet Lunch, and Reception Dinner.
            Friday, November 3: Buffet Breakfast and Buffet Lunch.
            Saturday, November 4 (Family Day): Buffet Breakfast and Boxed Lunch.

A vegan option and a gluten-free option will be provided at each meal.

Anyone can attend HSG’s Annual Meeting, but all attendees must register and pay applicable fees in advance to participate in the meeting, including meals and breaks, on Thursday and Friday. The Family Day sessions on Saturday, including meals and breaks, are free of charge, though we request that you register for Family Day separately if you plan to attend to ensure there is enough food and space.

The venue has a wide variety of available activities including an onsite spa, golf, tennis, pools, and hot tubs, and a 2.5-mile interpretive walking trail through the ancient Tribal land in the heart of the Sonoran Desert. (It is recommended to wear sunblock and/or a hat, closed-toe shoes, and to bring plenty of water.)

There is a casino and resort nearby (https://playatgila.com/resorts/wild-horse-pass/) as well as an outlet shopping center. A shuttle runs to and from these locations from the venue every 15 minutes from 7am-11pm daily.
